The Manual Work Between the Tools
When we mapped the client's operations, we found 23 distinct manual handoffs — moments where a human had to take information from one system and enter it into another. A new deal marked Closed-Won in the CRM required someone to manually create a project in ClickUp, send a welcome email, add the client to the mailing list, and create an IT access request. Each of these four actions took 3 to 8 minutes. Multiply that by 12 new clients per month: 12 to 32 hours of manual data entry for a single workflow. And that was just one of the 23 handoffs.

New hire in HR system triggers: M365 account creation request in IT helpdesk, onboarding task list in ClickUp assigned to the hiring manager, welcome email sequence start in Zoho Campaigns, Slack channel invitation. New deal Closed-Won triggers: project created in ClickUp with client name and standard task template, welcome email sent from the founder's Gmail, client added to the 'Active Clients' segment in Zoho Campaigns. Support ticket resolved triggers: satisfaction survey sent 2 hours after resolution, ticket outcome logged to a Google Sheet for monthly reporting. New contact form submission triggers: deal created in Zoho CRM, Slack notification to the responsible partner, auto-reply sent to the prospect.

Before automation, 15% of new client records in ClickUp were missing required fields because they had been created manually in a hurry.
